1. When can I start training?

Static Environment Testing (SET) for financial modules was completed in June, and in August the training environment will be set-up. Once we move to the training environment the Project Team/Functional Leads will work on advanced set-up. Training for the Subject Matter Experts (SMEs) and core users will begin after setup is completed. Departments should plan on training for staff starting in the fall. We will communicate training dates after they're confirmed.

2. Why are we hearing about this now?

We are talking about it now to give everyone ample time to prepare and adjust to the change. There are also departments who are heavily impacted already. We want everyone to be aware of the increased workload of these departments and remember to be kind and patient during the implementation.

3. Will MUNIS be better than our current system?

That is the goal! Our current system is 30 years old; the new software is updated and has more possibilities to streamline job functions and processes.

4. Will the new system replace Paychex?

Yes! The new system includes time entry that all employees will be trained on, and we do think it will be a more user friendly interface.

5. How will this impact my job?

Really it depends on your existing job function. Every employee will learn the new time entry system. From there it depends on your level of involvement with budgeting, purchasing and accounting. Overall the system will have positive benefits for all employees.

6. How does this Phase of the project affect me?

Most activity at this point involves the Functional Leaders/Project Team, Department Heads and Steering Committee. However, all County employees will be trained on the system. County wide training will occur in the 3rd and 4th quarters of 2017 for both Phase I and Phase II modules. In the meantime, the Functional Leaders/Project Team has an increased workload so patience and kindness are appreciated.

7. What should I expect next?

Look for the Monthly Newsletter which will be emailed and attached to your paystub with project updates. There will also be resources available on the Intranet and via email on trainings, conversion status and schedule updates.

8. Why is the County converting to MUNIS Software?

Our current financial software, Fundware, is dated and will not longer be supported after 2017, so this is an essential change for Routt County. The modules being implemented were chosen with the intention of simplifying processes and daily workflow such as, time entry, accounts payable and financial reports and project budgeting.

9. What's required of me?

There will be online training followed by classroom training. The amount of training depends on your current job functions.

10. How are we going to find time for training?

Flexibility and communication are key. The online trainings are organized into sections that can be broken up throughout your day. If you need assistance or motivation speak with a Subject Matter Expert (SME) or Change Agent.

11. Can we get overtime or compensation if we need extra training hours?

That was discussed with the Department Heads, and each department will manage their own time and hours on the project. Keep track of how many hours are spent on ERP, and if overtime hours are needed speak with your Department Head.

12. What are the specific time frames for training?

This is a huge project and we are still working on getting specific dates nailed down. Keep asking your Department Head, Change Agents, and we'll keep working to get information to everyone!
